Operations Administrator
Location: Chandler, AZ
PURPOSE:
This position is responsible for assisting Home Office through various reporting and administrative tasks.
- Greet visitors, answer phones, and distribute mail.
- Compile and maintain the following safety reports using Microsoft Excel, on a monthly basis:
- Near Misses
- CBO monthly updates
- Incident Tracking (missed days, severity rate, type of injury, root cause, etc.
- Update and send “Lots Left” and “Pricing Log” reports to necessary people on a monthly basis.
- Attend bi-weekly Ops Meetings, take notes and send out to necessary people.
- Work with President and VP of Operations to create Quarterly Strategy Meeting folders.
- Gather data and send out company dashboard weekly.
- Work with necessary management to create and maintain a records retention program.
- Create instructions for office personnel, such as Outlook how-to’s, Zoom do’s and don’t’s, etc.
- Prepare and finalize Home Office expense reports monthly.
- Manage President and Vice President of Operations’ calendar.
- Book travel for all divisions, including Home Office, as well as update and send the travel calendar semi-monthly.
- Serve as the Home Office Liaison for Nevada’s culture club.
- Support fleet and asset management system (Fleetio) for all divisions.
- Other duties as needed.
KNOWLEDGE & EXPERIENCE
- Bachelor’s Degree in Business Administration or related field preferred.
- Must have excellent Microsoft Office skills, specifically advanced knowledge in Excel.
SKILLS & ABILITIES
- Bilingual in Spanish and/or Japanese preferred.
- Must have the ability to extract and analyze data from different systems/resources to create valuable reporting.
- Exceptional verbal and written communication skills and the ability to work with different levels of management.
- Strong attention to detail and analytical skills.
- Must be able to work with minimal supervision and be very proactive.
- Must have strong organizational skills and the ability to prioritize effectively.
